An Etsy return policy is the return and exchange rule you set for each listing separately. You create it in Shop Manager > Settings > Policy settings > Returns and exchanges, choosing whether you accept returns, exchanges (or both) and the time window. Only the seller can cancel an order; when an order is cancelled the buyer gets a full refund, and Etsy automatically credits the listing and transaction fees back to your account. Digital listings cannot have a return policy. For buyers in the European Union and the United Kingdom, the legal 14-day right of withdrawal also applies.

Why does your Etsy return policy matter?

Etsy has no single return rule for the whole shop; policies are assigned per listing. That lets you turn off returns for a personalized item while allowing exchanges on a standard one. Buyers see which rule applies on the listing before they buy. A clearly written policy reduces "I didn't know that" disputes, negative reviews and cases. We cover the rest of your shop policies (shipping, privacy) and general shop setup in our Etsy shipping settings guide.

How to set a return policy on Etsy (step by step)

  1. In Shop Manager, go to Settings > Policy settings and open the Returns and exchanges tab.
  2. Select the Create policy button.
  3. Choose whether you accept returns, exchanges or both by ticking the checkmark next to each option.
  4. Pick the time frame in which you accept returns and exchanges from the dropdown menu.
  5. Select Save and apply, then Publish.

When you create a new listing or edit an existing one, you can choose one of your saved policies or create a new one. To change many listings at once, select them in Shop Manager > Listings and apply an existing policy via Editing options > Change return & exchange policies.

Etsy also offers a ready-made simple policy: the buyer can return or exchange the item within 30 days of delivery; return shipping costs and any loss in value if the item isn't returned in its original condition are the buyer's responsibility. This template is a good starting point for standard items, but it is not always suitable for items made to order.

Which return policy should you choose for print on demand?

Print on demand items are printed after the order comes in and do not go back into stock. That is why many POD sellers do not accept "I changed my mind" returns, but always replace or refund items that are defective, misprinted, damaged or sent in error. Whichever approach you choose, state it clearly in your policy and in the listing description. To reduce returns from the start:

  • Make sizing clear: for apparel, include a size chart and fit information in the description; sizing problems are a common cause of both return requests and low ratings. We cover ratings and reviews in how to get reviews on Etsy.
  • Keep images true to life: the color and print placement in your mockup should match the printed product. "Not as described" complaints often come from prints that look paler or smaller in reality. See our Etsy product photos guide for the right image set.
  • Ask for a photo of defects: asking the buyer for a photo showing the problem makes it easier to pass a reprint or refund request on to your production partner.

Can digital products be returned?

On Etsy, digital listings cannot have a return or exchange policy. The 14-day right of withdrawal under EU rules does not apply to digital items either. Still, solving problems such as a file that won't open or the wrong size being sent quickly by message prevents negative reviews and cases. We explain how to set up a digital product shop in detail in selling digital products on Etsy.

EU and UK buyers: the 14-day right of withdrawal

Even if you sell from Türkiye, the consumer rules of buyers in the European Union and the United Kingdom apply when you sell to them. According to Etsy's policy on selling to EU and UK buyers:

  • Buyers have the right to return certain items for any reason within 14 days of receiving them. The period starts at delivery, not at the date of purchase.
  • Etsy has added a withdrawal request option to the Help with order flow in the buyer's order history so buyers can submit their request.
  • When the right of withdrawal is used, the refund must also include the shipping cost of the original delivery. If you clearly stated in the listing or your policy before purchase that the buyer pays return shipping, you do not have to cover that cost.
  • You must issue the refund within 14 days of receiving the item or evidence from the buyer that it has been sent back.
  • Custom-made items, digital items, perishable goods and goods that cannot be returned for hygiene reasons once unsealed are exempt from this right.

Printing a ready-made design to order does not always count as "custom-made". If you are unsure, do not choose a return window shorter than 14 days for items you ship to the EU and the UK.

How to issue a refund on Etsy

  1. Open Orders in Shop Manager.
  2. Select the three-dot icon next to the order and choose Refund.
  3. Choose a reason for the refund and enter the amount next to the item. You can refund in full or in part; a partial refund can be used, for example, to deduct return shipping the buyer agreed to pay.

What happens to fees? When you refund through Shop Manager, the Etsy transaction fee and payment processing fee for the refunded transactions are automatically credited back to your payment account; for a partial refund the payment processing fee is credited in proportion to the refund amount. For sales made through Etsy Payments, you can refund within 180 days after the payment is processed. If your policy allows refunds after 180 days, you have to refund outside Etsy (for example via PayPal), and in that case Etsy cannot refund your seller fees. We calculate the effect of fees on your profit in Etsy fees and profit calculation.

How to cancel an order on Etsy

On Etsy, only the seller can cancel an order. If a buyer wants to cancel, they write to you through Etsy Messages. The steps to cancel:

  1. On the Orders & Shipping screen, select the three-dot icon next to the order you want to cancel.
  2. Choose the reason for the cancellation from the dropdown; you will see the amount to be refunded to the buyer at this step.
  3. Optionally write a message to the buyer, then select Cancel order.

When an order is cancelled the buyer receives a full refund; for orders paid through Etsy Payments this includes shipping. Etsy automatically credits the related listing and transaction fees to your account and charges no extra fee for cancelling. Until Etsy finalizes the cancellation (usually 48 hours), the order shows a "pending cancellation" notice. The cancelled sale is also removed from the sales count shown on your shop.

Under Etsy's cancellation policy, the main accepted reasons are: the payment was not successful, the buyer asked to cancel before dispatch and the seller agreed, the seller cannot or decides not to fulfil the order, the buyer did not receive the item and was refunded, and the buyer and seller agreed on a return. An occasional cancellation is not a problem; however, frequent cancellations can push your shop below Etsy's customer service standards and affect visibility. We explain how to resolve shop restrictions in my Etsy shop was suspended: what to do.

Cancellations in print on demand: act before production starts

In POD, the cost of a cancellation depends on whether the order has already gone into production. If printing has started, your production partner may not accept the cancellation or may still charge for production. So tell buyers to send change or cancellation requests right away, and make any unavoidable cancellation before production begins.

In Printmeet, Etsy orders appear on the Etsy Orders screen; however, an order does not go into production until you open it with Send Order and pay Printmeet with Make Payment. If the buyer asks to cancel at this stage, simply cancel the order on Etsy. After payment the order is sent to production; before deciding to cancel, check the order status (Paid, In production, Shipped) on the Orders screen. Products are printed by production partners in the USA and shipped directly to the buyer, and the tracking number is passed on to your Etsy order. You can see how the integration works on the Printmeet Etsy page.

What happens if a buyer opens a case?

A buyer with a problem first contacts you through Help with order on the order page. If the seller does not respond, or the issue is not resolved within 48 hours, the buyer can escalate it to Etsy as a case; for an item that has not arrived, a case can only be opened after the estimated delivery date has passed. Once a case is open, the seller is expected to respond within 2 calendar days.

Under Etsy's Purchase Protection program, for orders that meet all the requirements Etsy refunds the buyer itself up to 250 USD including shipping and taxes, and the seller is not held responsible. For full refunds funded by Etsy, your fees on that order are not credited back. Etsy states that an occasional case does not negatively affect a shop. The best defence is valid tracking on every order and images that show the product accurately; on-time shipping with tracking also contributes directly to the Etsy Star Seller criteria.

Frequently asked questions

How do I set a return policy on Etsy?

In Shop Manager > Settings > Policy settings > Returns and exchanges, select "Create policy", tick returns and/or exchanges, choose the time frame, then save and publish. Policies are per listing; for bulk changes use "Change return & exchange policies" on the Listings screen. Digital listings cannot have a return policy.

Can a buyer cancel an Etsy order themselves?

No. On Etsy, only the seller can cancel an order. A buyer who wants to cancel writes to the seller through Etsy Messages; if the seller agrees before dispatch, they cancel the order and the buyer receives a full refund.

Do I get my fees back when I cancel or refund on Etsy?

Yes. When you cancel an order, listing and transaction fees are credited back automatically and no extra fee is charged. When you refund through Shop Manager, the transaction fee and payment processing fee are credited; proportionally for partial refunds. Fees are not credited for refunds made outside Etsy after 180 days or for full refunds Etsy funds through Purchase Protection.

Do I have to accept returns on print on demand items?

On Etsy, whether you accept change-of-mind returns depends on your own policy. However, EU and UK buyers have a legal 14-day right of withdrawal, subject to exemptions, and buyers can open a case for items that are not as described or damaged. That is why most POD sellers always replace or refund defective items.
