On Etsy, you add personalization by opening the listing in Shop Manager > Listings and going to Item options > Custom options > Add field: you add a text box to collect a name, date or note, a list of options to let buyers pick a font or color, and a file upload field to collect a photo. You can add up to 5 fields per listing, make each field required or optional, and set a character limit between 1 and 1,024 on text boxes. The information the buyer enters appears with the order on the Orders page. In this guide we explain how to set up the fields, how to write good instructions and the primary photo rule for personalized items.

What is personalization (custom options) on Etsy?

Etsy now offers personalization fields on listings under the name Custom options. These fields appear on the listing page alongside options like color and quantity, and the buyer fills them in before adding the item to the cart. That removes the need for post-purchase messages like "send us your name"; the information arrives inside the order and the risk of misunderstanding goes down.

Personalization is especially strong for special-occasion items: a mug with a name, a couple's t-shirt with a date, a family sweatshirt with a surname, a gift with a birth year. You can find which products stand out in which season in our Etsy seasonal sales calendar.

Three field types: text box, list of options, file upload

  • Text box: for free text such as names, dates or quotes. You set the character limit between 1 and 1,024 depending on your design. Choose a short limit for a single-line name on a mug and a wider one for a long note on the back of an item.
  • List of options: for predefined choices such as font, print color or material. You can add up to 30 options; Etsy recommends keeping the list short (for example, 10 or fewer options) for a better buyer experience.
  • File upload: for buyers to send a photo or file. .jpg, .png, .svg, .heic and .pdf files are supported; buyers can upload up to 10 files, with a maximum of 100 MB per file. A listing can have only one file upload field; you can use several labels within it for different purposes.

Step by step: adding a personalization field to a listing

  1. Open the listing from Shop Manager > Listings, or create a new listing.
  2. Go to the Custom options section under Item options and click Add field.
  3. Choose the field type: text box, list of options or file upload.
  4. Give the field a clear title that tells the buyer what to enter, for example "Name to print on the mug".
  5. Write the instructions; if it's a text box, set the character limit.
  6. Mark whether the field is required or optional.
  7. If you like, set an add-on price for an optional text box, then publish or update the listing.

In the Etsy Seller app the same setting is under Listings > Custom options. To edit several listings at once on Etsy.com, check the listings on the Listings page and follow Editing Options > Change Custom options > Apply. Remember that each field should focus on a single detail; instead of asking for a name and a date in the same box, open two separate fields.

Required or optional? How to charge an add-on price

If the item is only sold personalized (for example, a birthday t-shirt that makes no sense without a name), make the field required; the buyer can't order with the field left empty. If the plain version of the item can also be sold, leave the field optional. Note: if the item doesn't carry your own design and is a ready-made product personalized only with the buyer's text (for example, a plain t-shirt printed with just a name), Etsy's Creativity Standards don't allow the same listing to also offer an uncustomized version; in that case the field must be required.

On Etsy.com, add-on prices can only be added to optional text boxes. The amount must be between $0.20 USD and $500 USD equivalent; it is shown automatically in your shop currency and also appears in the receipt and order details. For example, you can sell a t-shirt with your own design without personalization and set an optional text box such as "Add a name on the back?" with an add-on price. When setting the add-on price, check whether your production cost changes when the print area grows.

How to write good personalization instructions

Etsy's recommendations are clear: the title should say exactly what the buyer should provide, each field should ask for one detail, you should explain where the personalization will appear on the item, give an example when helpful, and state limits such as character counts or file requirements. Example instructions:

  • Text box – "Name for the front": "Type the name with the capitalization you want to see in the print. Up to 12 characters. Example: Elif"
  • Text box – "Date": "Write the date as day.month.year. Example: 14.02.2026. The date is printed in small type below the name."
  • List of options – "Font": name the options exactly as they are labeled in the listing image (Font 1, Font 2, Font 3).
  • File upload – "Pet photo": "Upload a well-lit photo where the face is clearly visible."

The fields should also match your listing description; repeat in one paragraph of the description how the personalization is applied to the item. For description writing, see our guide on how to write an Etsy product description.

Personalization or variations?

Etsy recommends using variations for options that affect inventory (such as size) and custom option fields for buyer-specific text and files. We explain how to set up size and color variations in our Etsy variations guide. For one-of-a-kind pieces made from scratch after talking with the buyer, Etsy recommends custom listings. Don't use personalization fields to ask for phone numbers or to have buyers acknowledge a digital item.

Primary photo rule: a finished, personalized item

For commercial personalized items, the first (primary) image must show a finished, personalized item. Blank product images or mockups with placeholder text such as "Your Text Here" should not be used as the primary image. Option labels in your images should also match the options in your fields. For print on demand sellers, the practical approach is to prepare the design with a realistic example name (e.g. "Elif") and create the primary image in that form. For mockup tips, see our product mockup guide.

Where does personalization information appear in the order?

The text the buyer entered, the option they chose and the files they uploaded appear with the order on the Orders page. Check the spelling before production; in unclear cases, messaging the buyer for confirmation prevents "not as described" complaints. For quick reply templates, see our guide to the Etsy messages response rate, and to decide your approach to returns on personalized items, see our Etsy return policy guide.

Print on demand products that suit personalization

  • Mugs with a name or date
  • Family, couple and team t-shirts and sweatshirts
  • Special-occasion gifts for birthdays, weddings and graduations

Because the text changes with every order on a personalized item, also test your design with the longest possible name; set the character limit to the length at which the design doesn't break. Before opening your first listing on Etsy, you can review the overall process in our guide on how to sell on Etsy.

Prepare personalized product images with Printmeet

With Printmeet you can create designs with AI, remove backgrounds, and prepare your design with an example name and generate its mockup, so the primary image shows the finished item. You can send your products to Etsy and track orders and shipping status from the dashboard; production is handled by our production partners in the US. You add the personalization fields (custom options) in the Etsy listing editor. For the full workflow, see the how it works page.

Frequently asked questions

How many personalization fields can an Etsy listing have?

You can add up to 5 custom option fields per listing. Only one of them can be a file upload field; the others are text boxes or lists of options.

What is the Etsy personalization character limit?

You set the character limit on a text box yourself; it can be between 1 and 1,024 characters. Choose the limit based on the longest text your design can carry without breaking, and state it in the instructions.

Can I charge extra for personalization?

Yes, but on Etsy.com add-on prices can only be added to optional text boxes. The amount must be between $0.20 USD and $500 USD equivalent, and it appears separately on the receipt.

Can I use a blank mockup as the primary image of a personalized item?

No. The primary image must show a finished, personalized item; blank product images and mockups with placeholder text like "Your Text Here" should not be used as the primary image.
